Parent Communication and Engagement Policy
1. Purpose
The School recognises the importance of effective communication and positive engagement with parents. This policy sets out how the School communicates with parents and carers, and how parents can engage constructively with the School to support pupils' education and wellbeing.
2. Aims
The School aims to:
- keep parents well informed about their child's progress, wellbeing, and school life
- communicate clearly, promptly, and professionally
- provide appropriate opportunities for parental engagement
- respond to parental enquiries and concerns in a timely and respectful manner
- maintain a consistent and manageable approach to communication
3. Scope
This policy applies to all parents and carers of pupils at the School and to all staff involved in communication with parents.
4. Principles of Communication
Communication between the School and parents will be:
- respectful and professional
- clear and accurate
- proportionate and purposeful
- consistent with School policies and procedures
- mindful of confidentiality and data protection requirements
5. Methods of Communication
The School uses a range of communication methods, including:
- email and the School's management information system
- newsletters and notices
- parent meetings and consultations
- reports on pupil progress and attainment
- the School website and official social media channels
- telephone communication where appropriate
Emergency or urgent communication will be issued using the most appropriate and direct means available.
6. Academic Reporting and Meetings
Parents receive regular reports on their child's academic progress and attainment. Scheduled parent–teacher meetings provide opportunities to discuss progress and next steps. Additional meetings may be arranged where concerns arise.
7. Parental Engagement
The School encourages parents to:
- support their child's learning and wellbeing
- attend meetings and events when possible
- engage constructively with staff
- follow School procedures when raising questions or concerns
Parents are expected to communicate respectfully with staff and other members of the School community.
8. Raising Concerns and Complaints
Day-to-day concerns should be raised with the relevant teacher or member of staff in the first instance. If a concern is not resolved, parents should follow the School's Complaints Policy. The School aims to resolve concerns promptly and informally wherever possible.
9. Boundaries and Expectations
To ensure effective communication:
- Parents should use official School communication channels
- Staff may not be available outside working hours and will respond within reasonable timescales
- The School does not engage in discussions about other pupils or families
- Abusive, aggressive, or inappropriate communication will not be tolerated
10. Confidentiality and Data Protection
All communication with parents is handled in accordance with the School's Data Protection and Privacy Policy. Personal data will be shared only where appropriate and lawful.
11. Review
This policy is reviewed annually and updated as necessary.
